This privacy policy will inform you as to how we look after your personal data when you visit our website and tell you about your privacy rights.

This privacy policy aims to give you information on how Power a Life collects and processes your personal data through your use of this website, including any data you may provide through this website when you request a quote, download a catalogue, or sign up to our newsletter.

We would, however, appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.
2. The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data includes first name, last name, and company name.
- Contact Data includes your work email address, billing address, delivery address, and telephone numbers.
- Transaction Data includes details about quotes you have requested, budgets, and corporate gifting merchandise you have enquired about or purchased.
- Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting, and operating system platform.
3. How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- To process and deliver your custom digital mock-ups and quotes.
- To manage our relationship with you as a B2B client.
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
- Where we need to comply with a legal or regulatory obligation.
4. Data Security & Retention
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.
5. Live quotes, e-signatures and tracked brochures
When we send you a live quote link (poweralife.com/q/…) or a brochure link (poweralife.com/b/…), we record how the page is used so we can follow up at the right time and answer the questions you are most likely to have. This is the same kind of information an email or document-sharing service records.
- What we record: when the link is opened, roughly how long each section or brochure page is viewed, the options you try (quantities, colours, branding, gift sets, dates), downloads, comments on artwork proofs, the device type and browser, an approximate location (country and city), and a one-way hashed version of your IP address. We do not store your IP address itself.
- No cookies: these pages do not set cookies or store anything on your device. Visits from automated scanners (for example email security filters) are ignored.
- Personal links: a link sent to you by email is unique to you, so activity on it is linked to your name and company in our CRM. The general brochure at poweralife.com/brochure is recorded anonymously.
- Logos you upload: used only to show your branding on concept visuals for that quote.
- Accepting a quote: when you sign, we record your name, job title, company, email address, the one-time code check, your signature, the quote version, the terms version you accepted, the time, a hashed IP address and your browser. A fingerprint of this record makes it tamper-evident, and we email you a signed confirmation.
- Lawful basis: our legitimate interests in responding to and following up business enquiries, and, once you sign, performance of the contract and our legal record-keeping obligations.
- Retention: viewing activity is deleted after 12 months. Signed acceptances and artwork approvals are kept for 6 years after signing, as accounting and contract records.
- Your choices: you can ask us to stop tracking a link, revoke it, or erase the viewing activity at any time by emailing paul@poweralife.com. We can erase viewing activity and uploaded logos on request; signed acceptance records are kept for the retention period above because we need them to evidence the contract.
6. Your Legal Rights
Under certain circumstances, you have rights under UK data protection laws in relation to your personal data, including the right to:
- Request access to your personal data (a "data subject access request").
- Request correction of the personal data that we hold about you.
- Request erasure of your personal data.
- Object to processing of your personal data.
- Request restriction of processing your personal data.
- Request the transfer of your personal data to you or to a third party.
- Withdraw consent at any time where we are relying on consent to process your personal data.

7. Governing Law & Jurisdiction
Because Sustainable Development Enterprises Ltd is registered in Scotland, this privacy policy and any dispute or claim arising out of or in connection with it shall be governed by and construed in accordance with the laws of Scotland. You agree that the courts of Scotland shall have exclusive jurisdiction to settle any dispute or claim.
